Send Proposals Clients Can Sign

A proposal is a priced document you send to a client as a link. They open it in the browser — no account, no PDF attachment — read it, and sign it online. The moment they sign, the work becomes a project in your workspace.

Compose the proposal

From Proposals, choose New proposal. A proposal is made of:

  • Title and message — what the work is, and a short note to the client.
  • Client — optional, but linking one lets us prefill their email when you send.
  • Currency and layout — pick Classic, Modern, or Minimal for how the document looks to the client.
  • Line items — the priced rows. Add them from your catalog, or type custom ones.
  • Discount — either a fixed amount or a percentage off the subtotal.
  • Attachments — PDFs, Word, Excel, or images. Images are shown inline on the proposal page; other files appear as downloads.
  • Valid until — an optional expiry date, after which the client can no longer sign.

Totals are always calculated on our side from the line items and discount, so the number your client signs is the number you'll bill.

Save as a draft first

Saving puts the proposal in Draft. Drafts are private — the public link won't open for anyone until you send it. Take your time, come back, and edit freely.

Send it

Choose Send proposal and confirm the recipient's email. We email the client a link, and the proposal moves to Sent. You can also copy the link and send it yourself, through WhatsApp or anywhere else.

Follow the status

Each proposal shows where it stands:

  • Draft — only you can see it.
  • Sent — the client has the link.
  • Viewed — they've opened it.
  • Signed — they've signed it.
  • Declined — they turned it down.

The timeline on the proposal shows when each of these happened.

What the client sees

They open the link and see your proposal in the layout you picked: your message, every line item and price, the total, and any attachments. To accept, they type their full name and draw their signature, then confirm.

We record the signature image along with the time they signed, so you have a clear record of the agreement.

Signing creates the project

As soon as a proposal is signed, we create a project for it automatically — named after the proposal, linked to the client, with the agreed amount set to the signed total. You can start tracking time against it immediately, and the proposal links straight to it.

You'll also get an email letting you know it was signed.

Editing and deleting

You can edit a proposal while it's a Draft, Sent, or Viewed — useful when a client asks for a change before signing. Once it's signed or declined, it's locked, so the signed document can't be altered after the fact.

Only drafts can be deleted. A proposal you've already sent stays in your records.
